The PRIORITY Method: A Neurodivergent-Friendly System for Organizing Tasks in Notion
For as long as I can remember, I’ve had a hard time figuring out what’s most important, what’s urgent, and what can wait. Most traditional systems never worked for me—so I built my own.
I’ve spent the last few months creating and testing nearly 40 frameworks to help me navigate life, business, and productivity in a way that actually works for my brain. Some have stuck, others have been tossed, but The PRIORITY Method has been a total game-changer. I now use it to plan my YouTube videos, my to-do list, my CRM follow-ups, goal setting, and so much more.
And today, I’m sharing it with you.
Why Prioritization Has Always Been Hard for Me
My brain doesn’t naturally categorize things into clear levels. Sometimes everything feels equally urgent, and other times, nothing does. Add in shifting deadlines, tasks without due dates, and general decision paralysis, and I end up completely overwhelmed.
I used to separate status and priority in Notion, but I always looked at one and not the other. Eventually, I realized: Why not merge them? Instead of assigning both a status and a priority, I combined them into one simple, color-coded system—and it’s made all the difference.
What is The PRIORITY Method?
The PRIORITY Method is an eight-level system where each letter represents both a priority level and a task status.The goal? To make it instantly clear what needs attention and when.
Here’s how it works:
🔴 P – Prioritize Today → Urgent. Do it now.
🟠 R – Required Next → High priority but not immediate.
🟡 I – Important Soon → Needs attention soon but isn’t urgent.
🟢 O – Optional Later → Can wait. Low priority.
🔄 R – Revisit Later → Not needed now, but worth checking again later.
🔵 I – In Progress → Currently working on it.
⏳ T – Tracking/Waiting → Waiting on someone/something before proceeding.
✅ Y – Yes, It’s Done! → Task completed.
Each level follows a rainbow color scheme (red for urgent, yellow for important, blue for ongoing, etc.), making it visually easy to understand what needs to happen next.
How I Use The PRIORITY Method in Notion
I’ve built this system into my Notion templates, so now it’s my default way of organizing everything.
1. Daily To-Do List
Instead of just dumping tasks into a list, I assign them a PRIORITY status. If it’s 🔴 Prioritize Today, it’s non-negotiable. If it’s 🟠 Required Next, I know it’s important but can wait.
2. CRM Follow-Ups
I use this method to track who I need to follow up with. If a contact is in Prioritize Today, I need to reach out ASAP. If they’re in Tracking/Waiting, I know I’m waiting on them before taking action.
3. YouTube Content Planning
Every video I plan is categorized into one of these statuses, so I always know what’s in progress and what needs my attention next.
The beauty of this system is that it’s flexible—you can use it for literally anything that requires prioritization.
